Where Each Goes Further

Different choices, side by side

Guesty’s help center calls its Accounting “a trust accounting platform and not a full operational accounting system”. VacayOps keeps a full ledger — P&L, balance sheet, cash flow and general ledger — next to the trust books. Guesty has things VacayOps doesn’t, too:

  • Owner payouts sent by the software — Native ACH transfers and NACHA files, with ACH money transmission by Airwallex US, LLC (US). VacayOps records payouts; you send them from your own bank.
  • More ways to count revenue — Check-in, check-out, nightly or on payment; accrual or cash basis. VacayOps counts it at check-in, at check-out or night by night.
  • AI matching of transactions, and Airbnb payout transactions grouped automatically. VacayOps suggests bank matches and breaks Stripe payouts down by booking; Airbnb and Booking.com payouts are matched by hand.
  • One bank account or two: VacayOps supports both; Guesty’s help center says using one bank account is not compatible with trust accounting.
Trust accounting and three-way reconciliation

What VacayOps brings to trust accounting

Features of VacayOps itself — the reasons to keep the trust books in the same system as the bookings.

One set of data

The PMS, field operations and accounting share the same reservations and owner statements — nothing syncs between systems.

Adjustment statements

A booking that changes after a month is issued becomes “Adjustment 1” for the difference. The issued statement is never rewritten.

Plain-language checks

Shortfalls, a balance below zero, money without an owner and bank lines left unmatched, explained in plain words; overrides recorded.

Reconciliation PDF

A monthly three-way reconciliation with sign-off: the worksheet, schedules by property and by owner, and sign-off lines.

Included in the subscription

Trust accounting, owner statements, accountant access and the 1099 files are part of the Full Platform at $29/property/month.

Your money stays in your bank

VacayOps records and reconciles the money in your own bank and processor accounts. It never holds or moves funds. You pay owners from your own bank, and VacayOps records each payout against the owner's balance.

Trust rules come from your state and your license. VacayOps gives you and your accountant or broker the records, checks and signed reconciliations to work from; meeting those rules and making your filings stay with you.

Guesty vs VacayOps: accounting questions

Is trust accounting extra in VacayOps?
No. Trust accounting, owner statements, accountant access and the 1099 files are part of the Full Platform at $29/property/month. Guesty’s help center describes Accounting by Guesty as a premium service activated by contacting Guesty, and its US pricing page lists it in the Ultimate bundle without a published price.
Do I need separate trust and operating bank accounts?
Not for VacayOps: it works with a separate trust bank account (segregated) or one account with owner and guest money tracked separately from yours (advisory). Guesty’s help center says using one bank account is not compatible with its trust accounting. Which setup your license or state calls for is a question for your broker or accountant.
Does VacayOps send owner payouts?
No. VacayOps records and reconciles the money in your own bank and processor accounts. It never holds or moves funds. You send payouts from your own bank and VacayOps records each one. Guesty offers native ACH transfers and NACHA files, with US ACH money transmission provided by Airwallex US, LLC — if you want the software to send payments, that is a real difference.
Can I recognize revenue when it’s paid, or on a cash basis?
Not in VacayOps: revenue counts at check-in, at check-out or night by night. Guesty’s help center lists recognition on payment and a cash basis as options, so if you need those, Guesty goes further here.
We’re on Guesty today. How do we switch?
Switching is built in — a self-guided Migration Center, with a specialist reviewing your move. The move brings your properties, owners and upcoming reservations across, and your owner balances too, so the first VacayOps owner statement starts from the right number.
