Guest WiFi and contact capture for vacation rentalsThe channel may mask the email. Your guest can still give you theirs, at the property, by choice.
Greet everyone on your WiFi with a branded splash page, and put an optional QR code in the welcome book and on the TV. Airbnb stays get a Connect without sharing option, and guests confirm their own marketing consent. What they share lands in the system that already runs the stay, with nothing to sync and no second platform to pay for.
Built for UniFi. Ruckus SmartZone and Cisco Meraki in beta.

Optional ways for a guest to share their own details
A booking channel may hand you a forwarding address instead of the guest’s own. VacayOps recognizes the common ones and keeps them out of campaign audiences. Then it gives guests optional places to share their own address at the property: the WiFi splash page and a QR code. Direct-booking guests also see it in the Guest Portal.
- Printable QR cards for the welcome book or fridge, plus the TV screen. They never go through a channel’s messages
- Portal link for check-in details in the channel’s thread where supported. The Stay in touch card is off for Airbnb stays by default, with a switch per channel
- Stay in touch card: share a better email or mobile number, shown in your guest report. It won’t accept a forwarding address
- Splash page: reaches everyone on the WiFi, not just the person who booked
- Airbnb stays get a Connect without sharing option, and you can offer it to everyone. Nothing reveals an address the guest doesn’t enter
Email on the booking

Before arrival: check-in details
Portal link in the channel’s thread, or by email. The Stay in touch card shows by channel, and it’s off for Airbnb stays by default.
At the property: splash and QR code
Anyone at the property can choose to share their details, including people who didn’t make the booking.
Then: their confirmation
A tick plus the emailed link, or a YES by text, before anything counts as marketing consent.
The guest’s WiFi sign-up belongs in the system running their stay
StayFi is a focused guest WiFi and marketing product that connects to the PMS you already have, and it lists integrations with many of them. It says sending pre-arrival forms through your PMS depends on the PMS (checked 1 Nov 2026). In VacayOps the reservation, portal, inbox, tasks, campaigns and WiFi are one platform, so there’s no integration to set up between them.
- A sign-up can link to the stay in progress at that property
- Confirmed opt-ins update the guest profile your campaigns already read
- A confirmed opt-in can trigger the same workflows as the rest of your operation
- Said plainly: StayFi supports more hardware, including its Express box for eero, Deco, Omada and Aruba networks (checked 1 Nov 2026). VacayOps doesn’t have that

Your brand, your fields, your terms
The splash uses your logo and brand color once branding is on. Set the headline, body text and background, and choose whether name, email and phone are off, optional or required, and set the terms guests accept. Each property can have its own headline, text, background and connect-button wording. After connecting, guests see your buttons: book again, your guidebook, local offers.
- Separate first and last name
- Refuses dead email domains and known burner services
- Optional 18+ or 21+ confirmation, recorded as the guest’s statement
- Up to six buttons on the connected screen

A guest joins your list when they confirm it, not when they connect
The marketing box is unticked and separate from the WiFi terms. A tick sends a confirmation email, and the opt-in exists only once the guest uses the link. Each opt-in stores the wording the guest agreed to. Texting works the same way, with a YES reply and STOP handling.
- Double opt-in on email for every tenant
- Text opt-in needs a registered number and is off by default
- An address that’s already confirmed isn’t asked again
- Sign-ups are covered by data-request export and erasure, and sign-ups with no decision are removed after 90 days
Know when a property’s network needs attention
On UniFi cloud accounts, VacayOps checks assigned devices every 15 minutes and alerts your admins when one stays offline, then clears the alert when it recovers. Optional occupancy alerts flag more connected devices than a reservation’s guest count suggests. From a property, you can block a device or keep one connected. These cover the default UniFi site.
- Offline alerts after 30 minutes by default
- Occupancy alerts are an estimate, off by default, at most one a day per property
- Optional auto-connect for TVs, streaming devices and locks
- An alert can start a workflow, including creating a task, if you build one

Guest WiFi: questions
- Booking channels hide guest emails. Can I still get them?
- Often, yes, but only what the guest enters. A channel may give you a forwarding address instead of a real one, and VacayOps recognizes the common ones and keeps them out of campaign audiences. A guest can give you their own address on the WiFi splash page or by scanning a QR code at the property, and direct-booking guests can also use the Guest Portal. Neither one can reveal an address, and neither one merges it with the booking’s forwarding address.
- How does the Guest Portal reach a guest who booked through a channel?
- The portal link can go out through the booking channel’s own message thread, with check-in details, on connections that support it. Where a thread isn’t available, such as Vrbo on some connections, it goes by email. You turn this on with auto-send or a workflow. The Stay in touch card is off by default, and once you turn it on, it stays off for Airbnb stays unless you change that per channel.
- Is this allowed under Airbnb’s and other channels’ rules?
- That’s a call for you and your counsel, and the rules change. Airbnb’s policy, as reported in May 2025, prohibits soliciting guest emails through its messaging or email alias after booking, and using guest contact information for marketing. So the Stay in touch card is off for Airbnb stays by default, a QR code at the property never goes through Airbnb’s messages, and Airbnb stays get a Connect without sharing option on the WiFi. Keep portal messages about the stay, and never use any of this to move a booking off a channel. We can’t tell you a particular practice is approved, including marketing to an address a guest gave you, so ask your counsel.
- Which routers work?
- UniFi has the full feature set and needs Network 9.3 or later plus your own Site Manager API key. Network monitoring covers the default site on UniFi cloud accounts. Ruckus SmartZone and Cisco Meraki are in beta, for the splash page and guest capture only. Ruckus needs a controller reachable over HTTPS with a valid certificate. Ruckus Unleashed and RUCKUS One aren’t supported.
- Does a guest have to give marketing consent to get online?
- No. They accept your WiFi terms, and the marketing box is separate and unticked. A ticked box starts a confirmation email, and they join your list only after they use the link. Text marketing works the same way: the guest replies YES, and STOP is honored on your guest texts.
- How do you handle fake email addresses?
- The splash page refuses domains that can’t receive mail and domains on a list of more than 10,000 known burner services. Those checks don’t prove a mailbox exists, and no list is complete. The confirmation link does prove it, so a WiFi sign-up alone never adds an address to your marketing list.
- Can I ask guests to confirm their age?
- Yes. Turn on an 18+ or 21+ confirmation and the guest ticks a box before connecting. We record the statement and collect no date of birth. It isn’t age verification.
- Will it tell me if a property goes offline or looks over-occupied?
- On UniFi cloud accounts, yes. Devices are checked every 15 minutes, and admins are alerted when an assigned device has been offline for 30 minutes by default. Occupancy alerts are optional and compare connected devices with the guest count on the reservation. They’re an estimate, because people carry different numbers of devices, so treat one as a reason to look.
- Is Guest WiFi extra?
- There’s no per-WiFi-device or per-contact charge in VacayOps, and users are unlimited. You provide the network equipment, and text opt-in needs a phone line, billed per line. No setup fee — onboarding, setup, configuration and training included.
