Guest Screening

Guest screening for vacation rentalsKnow who is checking in before the door code goes out.

ID verification lives in the guest portal your guests already open: the same link that carries check-in details, the agreement and the balance. Powered by Autohost. Turn it on once, decide whether codes wait for a verified guest, and see where every upcoming stay stands in one queue.

Two switches in Settings. No separate screening login for your team.

One more card on the link guests already have

When the portal link goes out on confirmation, the guest finds a Verify your identity card beside their stay dates, house information and agreement. Tapping it opens Autohost’s secure verification flow inside the portal, with the phone’s camera for the ID and selfie. VacayOps hands Autohost the stay and the guest’s name, email and phone, and keeps the result as a status on the reservation. Nothing else to send and nothing for the guest to install.

  • Shows for every guest with a portal link, from your direct site or a connected channel
  • Starts when the guest opens the step, so a stay the guest never engages with is never sent to Autohost
  • Status, not documents: ID images and the selfie stay with Autohost
  • Guests see Verified, Submitted and under review, or a prompt to finish

Require ID verification

Shows the step to every guest with a portal link.

Hold access codes until verified

WiFi and door, gate, lockbox, pool-gate and alarm codes stay hidden in the portal.

Don’t hold codes for Airbnb stays

Optional. Airbnb limits requiring registration on another site to enter.

Codes Wait

Hold the WiFi and door codes until the guest is verified

With the code hold on, the portal keeps WiFi and every access code hidden until the guest completes verification, even inside the usual 12-hour window before check-in. A guest whose check has been submitted and not declined gets their codes, so a stay in manual review is not stranded at the door. The hold applies to stays checking in after you turn it on; guests already checked in keep their codes.

  • Door, gate, lockbox, pool-gate and alarm codes, and the smart-lock PIN shown in the portal
  • A declined guest stays locked out of the codes until someone approves them in Autohost
  • Optional exemption for Airbnb stays, with a note on Airbnb’s policy beside the switch
  • The hold is in the portal: a code you put in an email or text yourself is not held back

Guest Vetting

Every upcoming stay, and where its check stands

Admin → Guest Vetting lists upcoming stays with a verification badge on each: Verified, Submitted, Needs review, Declined or Not started. Search by guest, property or reservation. A second tab lists stays with a balance still due, so the two things worth checking before arrival sit in one place.

  • Upcoming confirmed stays, blocks left out
  • A manual approve or decline made in Autohost overrides the automated verdict here
  • Balance Due tab beside it, with Mark paid
  • Admin role only

From confirmation to a verified guest

  1. 1

    Turn it on

Settings → Guest Portal → Guest ID Verification. Choose whether codes wait, and whether Airbnb stays are exempt from the hold.

  2. 2

    The portal link goes out

On confirmation, by auto-send, through the channel’s thread where there is one, otherwise by email or text.

  3. 3

    The guest verifies

They open the Verify your identity card and complete Autohost’s flow on their phone.

  4. 4

The status lands on the reservation

Verified, Submitted, Needs review or Declined, in the Guest Vetting queue.

  5. 5

    Codes unlock

With the hold on, WiFi and access codes appear in the portal once the guest is verified or has submitted, inside the 12-hour window.

What guest screening covers

Built on the Guest Portal, so there is nothing to sync and no second platform to pay for.

In-portal verification

Autohost’s flow inside the portal link the guest already has. No app, no account.

ID and selfie by phone

The portal grants the camera for the check. Documents stay with Autohost, not VacayOps.

Code hold

WiFi and access codes wait in the portal until the guest is verified or has submitted.

Guest Vetting queue

Upcoming stays with a status each, plus a Balance Due tab.

Manual decisions respected

An approve or decline made in Autohost overrides the automated result.

Per-company switches

Verification, the code hold and the Airbnb exemption, each on its own.

Guest screening: questions

How does guest screening work in VacayOps?
Turn on Guest ID Verification under Settings → Guest Portal. Every guest with a portal link then sees a Verify your identity card in the portal. When they tap it, VacayOps opens Autohost’s verification flow inside the portal, sends Autohost the stay and the guest’s name, email and phone, and records the result as a status on the reservation. You review results under Admin → Guest Vetting.
Which guests does it cover?
Any guest who receives a portal link: direct bookings and bookings from your connected channels alike. The step appears when the guest opens the portal, so it depends on the portal link going out, which auto-send does on confirmation.
Can I hold door codes until a guest is verified?
Yes. A second switch, Hold access codes until verified, keeps WiFi, door, gate, lockbox, pool-gate and alarm codes hidden in the portal until the guest completes verification, even inside the usual 12-hour window. It applies to stays checking in after you turn it on, so guests already checked in keep their codes. The hold is in the portal: a code you put in an email or text by hand, or by a message token, is not held back.
What happens when a guest is declined?
Their verification shows as Declined in Guest Vetting, and with the code hold on, the portal keeps their codes hidden until someone approves them in Autohost. A guest whose check is still in manual review has submitted, so the portal shows their codes. VacayOps does not create a task, send an alert or cancel anything on a decline; that call stays with you.
Where do approvals happen?
In Autohost. A manual approve or decline made there overrides the automated verdict in VacayOps. The Guest Vetting queue in VacayOps is for seeing where every upcoming stay stands, not for deciding.
Does this work for Airbnb stays?
The verification step shows for any guest with a portal link. For the code hold, Airbnb limits requiring guests to register on another site to enter a property, with exceptions such as legal requirements, so there is a switch to leave Airbnb stays out of the hold. Check your own practice with your counsel.
Does VacayOps store guest ID documents?
No. VacayOps keeps the verification status and timestamps on the reservation. The identity documents and selfie the guest provides are held by Autohost.
Is guest screening extra?
There is no screening add-on in VacayOps pricing; the check runs through the VacayOps Autohost connection. No setup fee — onboarding, setup, configuration and training included. Ask about your screening volume on the walkthrough.
