Vacation rental rate managementRules you set, a floor from what the turn costs, and a reason on every night.
Rule-based rate automation is included: seasons, day-of-week, last-minute windows, orphan nights, and a floor built from your real cleaning costs. It prices from your business, not from market data. Edit any night or a whole portfolio by hand, preview what the rules would change before they change it, and let the same calendar push to every connected channel and your direct site.
Rate rules price each property you leave on them; a property you connect to PriceLabs keeps PriceLabs' rates.
Seven rules, in a fixed order, on every night
Start from a base rate and minimum stay per property. Rate rules then multiply through seasons, day of week, last-minute steps, a crew-capacity uplift and an orphan-night discount, cap the result at a ceiling, and hold it at the floor. The order never changes, so a price is always explainable, and every priced night carries the list of rules that moved it.
- Seasons as recurring date ranges with a multiplier and an optional minimum stay; first match wins
- A multiplier per day of the week, so weekends are whatever you make them
- Last-minute steps by days to arrival that can lower price and minimum stay
- Orphan nights: short open gaps between bookings get a discount and a relaxed minimum stay
- Start from a typical setup, then adjust; validation warns about a season that can never apply
In this order, every night
A night never sells below what the turn costs
The floor is built from the cleaning rate VacayOps already uses to pay that property’s cleaner, including its short-stay tier, less the guest-paid cleaning fee you recover, spread across the nights of the stay after the channel commission and management fee you tell it to assume. A short stay gets a higher floor per night than a long one. The floor is applied last, after every other rule and even the ceiling.
- The same cleaning rate that drives the cleaner’s pay and the owner’s invoice
- A manual floor per property overrides the computed one
- Assumptions for cleaning fee recovered, commission and management fee, set once
- Preview shows how many nights are held at the floor
Sample figures. A manual floor on the property overrides the computed one.
Nothing changes until you have read why
Switch the engine on for a property and it starts in preview. Each daily run writes a proposal, and the Pricing tab lays out every night as Now, Proposed, Change and Why, with a summary of nights raised, lowered and held at the floor. When you go live, a confirmation reminds you that manual edits on those nights will be overwritten from then on. Run now reprices the property on demand.
- Preview per property; rules are company-wide
- Daily run across the next 499 nights, writing only what changed
- Each run’s outcome kept on the property: published, previewed, skipped or failed, with the reason
- Not a revenue forecast: it shows the price change, not what it will earn
One night, one property, or the whole portfolio
On a property, click, drag or shift-click a range of nights and set the rate, the minimum stay, or close and reopen dates. Across the portfolio, the pricing grid puts properties down and days across: drag a rectangle over listings and dates, then set a price, move prices by a percentage, set a minimum stay, stop-sell, block check-ins or check-outs, or clear overrides. Each apply says how many nights it will touch.
- Already-sold nights shown in the grid so you see what the edit lands on
- Price and minimum stay lock on properties that rate rules or a pricing partner own; availability stays editable
- Closed-to-arrival and closed-to-departure, honoured by the direct site and pushed to channels
- Admin-only, confirmed with real counts

Manual edits and rule results push the same way
Rule results are written into the same rate calendar as your manual edits, so there is one set of prices and restrictions. Changed nights queue to Airbnb, Vrbo, Booking.com, Expedia, Google Vacation Rentals, and Hopper through the channel connection, queued every minute with an hourly resync behind them, and your direct booking site quotes from the same calendar. Point a property at PriceLabs instead and its prices are read back into the calendar daily, with rate rules standing aside on that property.
- Minimum stay, stop-sell, closed-to-arrival and closed-to-departure travel with the price
- PriceLabs or rate rules per property; one pricing authority at a time
- Optional channel markup, with a switch for whether it applies on the direct site

Rate management: questions
- Is this dynamic pricing?
- No, and we don’t call it that. Rule-based rate automation is included: seasons, day-of-week, last-minute windows, orphan nights, and a floor built from your real cleaning costs. It prices from your business, not from market data. There is no comp set, no market forecast and no demand signal. For market-data pricing, PriceLabs connects natively and takes over the properties you point at it, billed by PriceLabs. Rate rules price each property you leave on them; a property you connect to PriceLabs keeps PriceLabs' rates.
- What rules are there?
- Seasons, as recurring date ranges with a multiplier and an optional minimum stay. A multiplier for each day of the week. Last-minute steps by days to arrival, each with a multiplier and an optional lower minimum stay. An orphan-night discount for short open gaps between bookings, which can relax the minimum stay to the gap. A crew-capacity uplift on days your published shifts are stretched. A ceiling, as a multiple of base or a nightly cap. And the floor.
- How is the floor worked out?
- From the cleaning rate VacayOps already uses to pay that property’s cleaner, including the short-stay tier, spread across the nights of a stay after any guest-paid cleaning fee, channel commission and management fee you tell it to assume. So a two-night stay gets a higher floor per night than a five-night stay. A manual floor on the property overrides the computed one. The floor is applied last, so no rule prices a night below it.
- Can I see what the rules would do before they change my prices?
- Yes. Turning the engine on for a property starts it in preview. Each run writes a proposal, and the Pricing tab shows every night as Now, Proposed, Change and Why, with the rules that moved it, plus how many nights rose, fell or sat on the floor. Going live takes a confirmation, which warns that manual edits on those nights will be overwritten.
- How often do rates update and reach the channels?
- The engine runs once a day across the next 499 days and writes only the nights that changed, and you can run it now from the property. Manual edits and engine results go to the same rate calendar, which pushes to Airbnb, Vrbo, Booking.com, Expedia, Google Vacation Rentals, and Hopper through the channel connection, with changed nights queued every minute and an hourly resync behind them, and is what your direct site quotes from.
- Can I edit rates across many properties at once?
- Yes. The portfolio pricing grid shows properties down and days across. Drag a rectangle across listings and dates, then set a price, move prices by a percentage, set a minimum stay, stop-sell, block check-ins or check-outs, or clear overrides, in one write per night. Each apply tells you how many nights it will touch. On a property that rate rules or a pricing partner owns, price and minimum stay are locked while availability stays editable.
- What is not in the rate model?
- Weekly, monthly and length-of-stay discounts, extra-guest pricing, maximum stay and early-booking premiums are not part of it today. Rules are company-wide, with the engine switched on and a manual floor set per property. Rate rules and the Pricing tab are for properties on the VacayOps PMS.
- Is rate management extra?
- No. The rate calendar, bulk editing and rate rules are part of the subscription, with no pricing add-on. No setup fee — onboarding, setup, configuration and training included.
