One Queue

Collected hourly, matched to the stay

Reviews from your connected channels are collected every hour with the score, the category scores, the text, any private feedback and whether you have replied, and matched to the reservation. Three queues keep the work in front of you: stays that still need your host review before the channel’s window closes, reviews you have not answered, and everything.

  • Airbnb, Vrbo, Booking.com and Expedia reviews, with per-category scores where the channel gives them
  • Private feedback kept with the review, never shown on your site
  • One rating and review count per property, used everywhere else in VacayOps
  • Admin, manager and guest-support roles see the queue

Reply and Review

Answer in public, review the guest, from the same row

For properties connected through the channel manager, write the public reply in VacayOps and it posts to the channel, with a guard so a review is never answered twice. On Airbnb, review the guest from the same place on cleanliness, communication and house rules, and the Needs host review queue shows whose window is closing. Replies are yours: no AI writes them.

  • Public replies on Airbnb, Vrbo, Booking.com and Expedia reviews
  • Airbnb guest reviews with the three category ratings
  • A deadline queue for the double-blind review window
  • Reviews read from a Hostaway connection are shown with a link to reply there

“Great view, slow WiFi on the second night.”

“Thank you, M. The access point has been replaced since your stay. We’d love to host you again.”

On Your Site

The reviews you choose, on the property page and the home page

Each property page on your direct booking site shows its rating, review count and recent reviews, with theme chips drawn from the words guests use, and carries aggregate-rating and review structured data only when a real rating backs it. Across the site, a From your reviews block picks recent, high-rated reviews, at most two per property, shown with the guest’s first name and last initial. Hide any review from the site and its text goes; the rating stays honest.

  • Reviews still inside a channel’s hidden window stay off the site
  • A hidden review changes nothing in the property’s rating or count
  • Reviews the chat assistant and the website AI can quote are the same approved ones
  • A manual testimonials block for quotes from elsewhere

Asking

A survey after the stay, and a review link for everyone who answers

Turn on the post-stay survey and it goes out a set number of days after checkout, skipping cancellations and inquiries. Every guest who completes it sees a Leave a review button to the link you set. A low score flags the response for you and keeps the guest out of marketing drips, as does a low channel rating. For a plain request, a workflow template emails one two days after checkout in your own words.

Ratings at Work

The rating decides how often the property is inspected

Each property’s stored rating and margin set its inspection tier, and the tier sets the inspection schedule: monthly, fortnightly or weekly. Recurring tasks and workflows can be limited to properties above or below a rating. Cleaner performance reports attribute property ratings to the housekeepers assigned there, and the Guest Review Intelligence report ranks the portfolio and shows the outliers.

  • Green, Yellow and Red tiers from rating and margin
  • Property filters by rating in recurring tasks and workflows
  • Cleaner performance by assigned properties with enough reviews
  • Portfolio report with averages, bands and the lowest-rated properties

Review management: questions

Which reviews come into VacayOps?
Guest reviews from Airbnb, Vrbo, Booking.com and Expedia on properties connected through the channel manager, collected hourly with the score, category scores, text, any private feedback and whether you have replied. Each one is matched to the stay. Google reviews are not collected.
Can I reply to reviews from VacayOps?
Yes, for properties connected through the channel manager: write the public reply in the review queue and it is posted to the channel, with a guard against replying twice. On Airbnb you can also review the guest from the same place, on cleanliness, communication and house rules, and a Needs host review queue shows the stays whose window is closing.
Does VacayOps write replies with AI?
No. Replies are written by your team. The AI assistant can tell you a property’s rating and count, but it does not draft or post review replies.
How do reviews reach my direct booking site?
Each property page shows its rating, count and recent reviews with keyword theme chips, and carries review and aggregate-rating structured data when there is a real rating behind it. A From your reviews block picks recent, high-rated reviews across the site, at most two per property, shown with the guest’s first name and last initial. Hide any review from the site in Website → Reviews; its text disappears and the property’s rating does not change.
How do I ask guests for reviews?
Two ways. A post-stay survey goes out a set number of days after checkout; every guest who completes it sees a Leave a review button to the link you set. And a workflow template emails a review request two days after checkout with your own wording and link. Neither one reads the score before offering the link.
What happens when a survey score is low?
The response is flagged on the feedback responses page, and the guest is kept out of marketing drips. Low channel ratings do the same. VacayOps does not create a ticket, task or alert from a score; that is your call, with the flag in front of you.
How do ratings feed operations?
Each property’s stored rating and margin set its inspection tier, so a property drifting down is inspected weekly instead of monthly. Recurring tasks and workflows can be limited to properties above or below a rating. Cleaner performance reports attribute property ratings to the housekeepers assigned there, and the Guest Review Intelligence report ranks properties and shows the portfolio’s outliers. Ratings are the current figure per property, not a history.
Is review management extra?
No. Review collection, replies, website reviews, the survey and the reports are part of the subscription. No setup fee — onboarding, setup, configuration and training included.
